Moving Annual Total Sales Analysis (MAT)

Use MAT pages to track 12-month sales trends and depletion.

MAT Sales Analysis pages are a sales tool that can be used by demand planners and buyers alike to view sales trends alongside stock quantities and depletion rates.

The MAT on-screen reports give you a stock position, displaying previous 12 months sales, current stock position with estimated time to depletion, and visibility of quantities on purchase order.

This report is ideal for the procurement department to keep an eye on the company stock position, catch unusually large sales, spot trends, and plan purchases; it also provides a simple forecast for the next month's sales and a time to depletion figure. The sales team can view specific customer sales trends over the same period.

Three versions exist:

  • Item MAT Sales Analysis: All the figures on this version are updated in real-time, the figures coming from Bevica document pages, i.e., Sales Order and Return Order lines, Posted Sales Invoice and Credit Memo lines, etc.

  • Item MAT Sales Analysis - Item History: If you have access to the Item Sales History, this version includes Bevica transactions plus any Item Sales History you might have imported. See Item History (Sales) for more details.

  • Item Group MAT Sales Analysis - Item History: If you have access to the Item Sales History, this version groups sales by Item Group Code, see Item Group Codes, MAT and Forecasting, includes Bevica transactions plus any Item Sales History you might have imported. Report calculation options

  1. Search for Bevica Setup.

  2. The Moving Annual Totals fasttab allows you to define how the MAT report is presented:

    • Forecast Method: Choose one of the two existing methods, Moving Average or Two-period weighted average.

    • Two Period Smoothing Factor: The higher the number, the more relevance is given to the current month's sales. The value needs to be between zero and one. The default value is 0.3.

    • Display quantities in the UoM: The MAT report can display data based on the Base Unit of Measure or Sales Unit of Measure.

    • Default Lead Time: This represents the typical time it takes from purchase order to the item being available for sale. Where no lead-time is specified on the item itself or its default Vendor, the MAT report will use this CalcFormula to estimate time to depletion.

Setting up the vendor

  1. Search for Vendors.

  2. Select a vendor and open their Vendor Card.

  3. In the Receiving Fasttab, you can populate the Lead Time Calculation. This field represents the transit time it typically takes from cellar door to warehouse and available for sale.

Item Card Setup (for Item MAT reports)

  1. Search for Items.

  2. Select an item and open the Item Card.

  3. On the Replenishment fasttab, you can populate the Lead Time Calculation. This field represents the time it typically takes to prepare the goods for shipment.

Running the Item MAT Sales Analysis report

  1. Search for Moving Annual, or access the MAT reports from the Item, Vendor, Customer List and Card pages.

When opening the page from an Item or Vendor, the report is automatically filtered to that record.

When running the page from a Customer record, Bevica automatically applies a 'Limit Total By' filter to show all sales figures for that customer only (when this filter is applied, the Est. Time Remaining (m) value is set to zero as it no longer makes sense).

Once open, you can manually remove any pre-set filters and apply your own for a bespoke report, i.e., exclude Blocked items, filter to a Region, show only items with Inventory (all Item fields are available for filtering even if they are not visible on the list)/Item Group code.

The MAT report works in combination with your WORKDATE. Changing the WORKDATE will change the values on the report.

The quantities displayed exclude paid reserve withdrawals and paid reserve duty transfers.

YTD Sales

Adds up the 12 previous months sales (does not include the current month). Figures exclude Drop Shipment sales or purchase quantities, and paid reserve withdrawals/duty transfers.

12x columns of previous months sales

Each showing sales less credited quantities. All figures exclude Drop Shipment sales or purchase quantities, and paid reserve withdrawals/duty transfers.

Current Month sales

Current month's sales. Figures exclude Drop Shipment sales or purchase quantities, and paid reserves withdrawals/duty transfers.

Est. Sales (m)

Using the 'Forecast Method' selected in Bevica Setup, this estimates the next month's sales. See below for calculations1

Lead Time (m)

Where the item / Item Group Code or the default Vendor have lead times, those are added together and presented as 'months'. If not, the Bevica Setup default lead time is used.

Inventory

Quantity of stock held in inventory.

Est. Remaining Time (m)

A simple calculation estimates how much time there is, in months, before stock is depleted.

Qty. on Purchase Order

Displays how much there is outstanding on purchase orders. See Note below. Only available on Item MAT reports.

Qty. on Sales Order

Displays how much there is outstanding on sales orders excluding paid reserve withdrawals and duty transfers. See Note below. Only available on Item MAT reports.

  1. Estimated sales calculations:

    • 3M Moving Average: (Estimated sales this month + Sales the previous 2 months) / 3

    • Two-period weighted average: ((MAT Two-period Avg. Factor * Estimated Sales this month) / 1 + (1 - MAT Two-period Avg. Factor) * sales the previous three months)) / 4

    • 6M Moving Average: (Estimated sales this month + Sales the previous 6 months) / 6

    Where 'Estimated Sales this Month' is equal to sales this month / (31 - days remaining in the month) * 31

Filtering the report

There are a number of ways you can filter the on-screen reports.

Customer

Populating the Customer No. field will impact 'YTD Sales' and the monthly sales columns to that customer. Other fields will not be filtered, e.g., Est. Time Remaining will no longer make sense.

Note

The customer can be filtered in the same way on all 3 of the MAT reports.

Filter Totals By

A number of filter fields can be used to impact the report figures on the Item MAT Sales Analysis report: Location Filter, Variant Filter, Global Dimension 1, and Global Dimension 2. Other Filter Totals By Filters will have no impact on the report.

Qty. on Purchases and Qty. on Sales can also be impacted by applying a Date Filter.

  • On sales, the date filter is applied to Shipment Date.

  • On purchases, the date filter is applied to Expected Receipt Date.

This allows you to quickly see quantities that are due in, for example, the next week to help with planning. For more information on filtering, see Setting filters on lists.

Note

The Filter Totals By Filters are only applicable to the Item MAT Sales Analysis report.
