# Sales Line Worksheet

Use the Sales Line Worksheet to review, filter, and manage sales lines in bulk.

The Sales Line Worksheet (SLW) is designed to make ordering easier; run off a sales order it displays a filterable list of all the items that customer might want to buy and has access to. The list can display the following types of item availability:

* Free Stock
* Unpaid Reserves
* Paid Reserves
* Broking stock

The SLW can also be filtered on many item attributes and also to show items on a Customer's Recurring Sales Lines / Favourites. After entering the quantities required you copy the lines to the sales order.

### Setup

The SLW feature must be first initialised in Bevica Setup, Sales Line Worksheet fasttab, **Enable Sales Line Worksheet,** then run the **Populate Sales Line Worksheet** routine, found on the Bevica Setup ribbon, Related, Operations, Sales Line Worksheet. This deletes any existing SLW records and creates new records in the table. Users should select all the required line types: Free Stock, Private Reserves, Unpaid Reserves, Broking.

Note

We recommend disabling SLW features while any large item related bulk processes are being run, i.e. creating items, importing balances. Once any processes have been completed return to Bevica Setup, enable **Enable Sales Line Worksheet** and run the **Populate Sales Line Worksheet** routine.

Other Bevica Setup SLW fields:

* **Create Sales Line immediately.** If this flag is set, a sales line will be created automatically when the user tabs off the SLW **Qty. to Order** field. Use this in an environment where stock availability is low or quantities must be hard allocated immediately. The recommended and default action is to select the SLWs' **Create Sales Line** ribbon option and create sales lines in one go.
* **Default Sales Line Worksheet Profile.** Populate this with the preferred SLW Profile. Flags held against the default code determine which records are created as documents are posted, i.e. Purchase Receipt, Paid Reserve Journal posting.

Changing any flag on the default Sales Line Worksheet Profile will impact SLW records as it reflects the decision against the SLW, deleting or creating records. **This may cause a performance bottleneck.**

### Sales Line Worksheet Profiles

These can be found in Bevica Setup, Related, Operations, Sales Line Worksheet. The default code, held in Bevica Setup, determines which type of records exist.

### User Permissions

The permissions for the sales line worksheet are within the Bevica Super permission set (TVTB SUPER). You can create a new permission set and assign the following permissions for users who do not have the TVTB SUPER permission set:

### Sales Order Process

The SLW page can be run from an **Open** Sales Order. The **Sales Line Worksheet** option is on the order's **Home** ribbon.

The SLW displays items available to this order and for each item, its attributes, some of which are hidden by default.

Items must:

* be Type = Inventory
* not be Blocked
* not be Sales Blocked

Note

Using **Blocked** and **Sales Blocked** will filter **Free Stock** on the SLW. Paid Reserves, Unpaid Reserves or Broking lines will remain.

Note

To keep the SLW lines relevant and help performance you should **Sales Block** items that are not needed, either at the beginning of their lifecycle or once stock is depleted.

### SLW ribbon options

* **Quick Filters.** These let you filter the list to different line types or just the lines with quantities to order:
  * **All.** Removes any filter applied by any Quick Filter option.
  * **Free Stock.** Displays only Free stock lines.
  * **Unpaid Reserves.** Displays only Unpaid Reserves available to this order/customer.
  * **Paid Reserves.** Displays only Paid Reserves available to this order/customer.
  * **Broking.** Displays only Broking lines available to this order/customer.
  * **Lines to Order.** Displays lines that have **Qty. to Order** > 0.

Note

The page's standard filter options can also be used and saved to further filter records.

* **Create Sales Lines.** This option, unless sales lines are being created automatically, creates multiple reserved sales lines for the entered quantities, removing them from the SLW when the page closes.
* **Update Sales Price.** Calculates the price for the selected line. If **Qty. to Order** is blank the price is calculated for 1 unit. The option is also available on the line's **Repeater** button (see below).
* **Alt. Item Units of Measure.** Adds additional lines for the highlighted line, one per alternative item's UoM. The option is also available by clicking the value in the Unit of Measure field itself. The option is also available on the line's **Repeater** button (see below).
* **Toggle Recurring Sales Lines.** This lets you filter the SLW to those items on the selected Recurring Sales Line code.

### Recurring Sales Lines

Selecting the **Toggle Recurring Sales Lines** ribbon option displays all the recurring sales lines/favourites available to that customer, see below. Choose the appropriate one for the order, this filters the SLW lines to the items on the recurring sales lines.

Select **Toggle Recurring Sales Line** again to return to the full SLW list.

Note

When the SLW is closed without selecting **Create Sales Lines,** all **Quantity to Order** details are retained but not reserved or allocated in any way. When you reopen the SLW you will see the **Quantity to Order** but the stock may no longer be available.

Note

On opening the SLW, the worksheet will store the Sales Order information for that session, therefore it is advised that only one instance of the SLW is opened per session (tab).

If more than one instance of the SLW is opened within the same session Bevica will automatically close the older session on return.

This is to ensure the data has correctly refreshed and information populated on the SLW is up to date and accurate. If quantities were inputted into the SLW prior to opening a second SLW these will still be there upon re-opening.
