Customer Favourites

Configure customer favourites to speed up order entry and reduce errors.

Bevica has the ability to store a list of sales lines that can be used for quick ordering, for example a restaurant wine list, a list of items on special offer this month or ancillary items or services that can be added to a sales document.

Using Recurring Sales Lines functionality can make ordering quicker and more accurate.

  • Recurring Sales Lines - create a generic sales list that you can then link to a number of customers.

  • Customer Favourites - create a sales list specific for a Customer or Customer's Ship-to.

Recurring Sales Lines

Recurring Sales Lines are generic lines that can be applied to any customer. For example, a group of items on a special promotion or a group of ancillary items always added to an order together.

First you create a Recurring Sales Line Code and its lines then you assign that code to whichever customers it applies to.

Step 1

Search for Recurring Sales Lines and create a new record.

Navigate to the customer list, navigate to Recurring Sales Lines (Related > Sales > Recurring Sales Lines) and apply that code to that customer. See also Customer Recurring Sales Lines below.

Customer Favourites

Customer Favourites are recurring sales lines that are created specifically for a Customer / Customer Ship-to. They are created directly from the customer card or list pages.

Setup

Navigate to Bevica Setup, Favourites FastTab, create and apply a No. Series for your Customer Favourites, i.e. FAV00001

Creating a Customer Favourites list

Navigate to your Customer from the customer list or card.

In the ribbon, select Related > Sales > Favourites - Recurring Sales Lines.

To create a new favourites list click Create Favourite on the ribbon.

A new line is created using the No. Series in Bevica Setup. You can now enter a Description and Ship-to Code if necessary. If the Ship-to Code is left blank the Favourites can be applied to both the Customers address as well as any Ship-to. See the Customer Recurring Sales Lines section below on how to populate the additional fields on this list page.

To create lines, select Card on the ribbon, this opens the Favourites - Sales Lines Card.

Standard Sales Lines / Favourites Sales Lines

Step 1

From the Standard Sales Line Card or Favourites - Sales Line Card page, you can add lines. You can access these pages from the Recurring Sales Lines or Favourites Sales Lines pages.

The Type field lets you create lines other than just Item, if for example you want to add a standard delivery charge you can add a G/L Account or Resource line and populate the Amount field. For Duty Controlled items, leave Variant Code (Duty Status) blank as that will automatically be populated based on the duty status on each sales document.

Once all the lines have been added close the page.

Customer Recurring Sales Lines

Customer Recurring Sales Lines and Favourites - Customer Sales Lines have a number of additional fields that can be used to determine when each list is used on a sales document.

Field
Note

Currency Code

This non-editable field displays the same field on the recurring lines themselves. It is used to match the currency on the order with Recurring lines.

Ship-to Code

This field is used to filter which recurring sales lines are available on sales documents. If left blank the code is available on all Ship-to's for that customer.

Valid From Date

This field is used to filter which recurring sales lines are available on sales documents and when running the Create Recurring Sales Invoices routine.

Valid To Date

This field is used to filter which recurring sales lines are available on sales documents and when running the Create Recurring Sales Invoices routine.

Payment Method Code

This field is only used when running the Create Recurring Sales Invoices routine.

Payment Terms code

This field is only used when running the Create Recurring Sales Invoices routine.

Blocked

This field is used to filter which recurring sales lines are available on sales documents and when running the Create Recurring Sales Invoices routine.

Direct Debit Mandate ID

This field is only used when running the Create Recurring Sales Invoices routine.

Insert Rec. Line On...

The four versions of this field let you set how recurring lines are managed on individual document types: Quotes, Orders, Invoices, Credit Memos

Insert Rec. Line On... options

When a sale document is created...

Manual

The User is expected to click the document ribbon ‘Get Recurring Sales Lines’ option and select the Recurring Sales Line Code they want to apply to the document.

Automatic

Where there is one recurring sales line set to this option, Bevica will populate the sales document lines automatically. If there is more than one set, the system adds a notification on the document header to remind the user.

Always Ask

The system creates a document notification that if clicked will open the Recurring Sales Lines page allowing the User to select the one they want to apply to the document.

Creating a Sales Document

When a new sales document is created, depending on how the recurring lines have been created Bevica will either:

  • automatically create sales lines.

  • prompt the user with a notification that recurring sales lines exist, waiting for the user to select one.

  • do nothing, expecting the user to go to the recurring lines option on the ribbon.
