# Managing Copilot and Agents

Configure Copilot and agent capabilities, user access, data movement, and Bing Search in Business Central.

As a Business Central administrator, you manage Copilot and agent capabilities from the **Copilot & agent capabilities** page.

Copilot is an integral Business Central system feature and can't be switched off as a single product-wide setting. You can, however, control individual capabilities and user access.

## Check availability

Before introducing a capability, confirm:

* Business Central version
* Country or region availability.
* Supported language.
* Preview or generally available status.
* Licence requirements
* Required permissions
* Required environment and data-governance settings.

## Activate or deactivate capabilities

The **Copilot & agent capabilities** page lists available features and shows whether each is active or inactive. Capabilities are separated into preview and generally available sections.

You can activate or deactivate individual capabilities for the environment. Available Copilot and agent capabilities are active by default when they are in preview or generally available, subject to the required configuration.

## Grant user access

Most capabilities use Business Central permissions and permission sets. Permissions vary by capability, so use the Microsoft feature documentation to identify the required access.

Examples include the **Copilot Sys Features** permission set for Chat, Analysis assist, Autofill, and Summarise, alongside feature-specific page permissions for some finance, sales, and inventory capabilities.

## Data movement and web search

Where the Business Central environment and the required Azure OpenAI service are in different geographies, the **Allow data movement** setting may be required. If the setting is disabled, affected capabilities are unavailable.

Some capabilities can use Bing Search to improve results. Administrators control this through the **Enable Bing Search** setting on the **Copilot & agent capabilities** page.

## Agent-specific administration

Standard agents require additional setup before use. Custom agents also require appropriate Copilot Studio licensing or capacity, connections, tools, Business Central permissions and testing.

Before enabling an agent that can create or change records, confirm its scope, permissions, validation, exception handling, and human review points.

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation by asking a question.

Perform an HTTP GET request on the following URL with the `ask` and `goal` query parameters:

```
GET https://kb.bevica.com/copilot-ai/copilot-and-ai/managing-copilot-and-agents.md?ask=<question>&goal=<user_goal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is what the user is ultimately trying to achieve, the reason they need the answer. Sharing it helps GitBook give you a better, more relevant answer. A goal is most helpful when it describes the outcome the user wants rather than restating the question. For example, with `ask=how do I create an API token`, a goal like `automate deployments from our CI pipeline` lets GitBook tailor the answer to that use case.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
